Tenant & Owner Portal Policy

Legacy Rose Company (“LRC Property Management,” “we,” “us,” or “our”) provides secure online portals for tenants and property owners (“you,” “your”) to streamline communication, payments, and management services. By using our tenant or owner portal, you agree to comply with this Portal Policy, our Terms of Use, and our Privacy Policy.

  1. Access and Security
  • Portal access is restricted to registered tenants, applicants, and property owners under management contracts with LRC.
  • You are responsible for maintaining the confidentiality of your login credentials and any activity conducted under your account.

  1. Permitted Use

The portal may be used for:

  • Submitting rental applications and required documents
  • Paying rent, fees, or other charges securely online
  • Requesting and tracking maintenance or repair services
  • Accessing lease agreements, financial statements, or other property-related documents
  • Communicating with LRC Property Management

Any use of the portal for fraudulent, abusive, discriminatory, or unlawful purposes is strictly prohibited. 

  1. Fair Housing and Equal Opportunity Compliance

LRC complies with the Fair Housing Act and North Carolina Fair Housing laws. Portal communications, maintenance requests, or other submissions may not contain discriminatory, harassing, or inappropriate content. Any violation will be grounds for suspension of portal access and potential legal action.

  1. Payments and Transactions
  • Online rent and fee payments are processed through third-party payment providers. By submitting a payment, you authorize the processing of charges in accordance with your lease or management agreement.
  • LRC is not responsible for delays caused by your bank, credit card issuer, or third-party payment systems.
  • Any returned payments may be subject to fees as outlined in your lease or management agreement.
  1. Maintenance Requests
  • Tenants should submit all routine maintenance requests through the portal for proper tracking and response.
  • Emergency issues (e.g., fire, flood, gas leak) should be reported immediately to 911 and then to LRC’s emergency contact line.
  • LRC will coordinate repairs in accordance with North Carolina landlord-tenant law and the lease agreement.
  1. Document Management
  • Owners may access property performance reports, financial statements, and management documents through the portal.
  • Tenants may access leases, renewal notices, and other rental-related documents.
  • Documents uploaded by users (e.g., proof of insurance, W-9, ID verification) must be accurate, lawful, and free of harmful software or viruses.
  1. Data Security and Privacy
  • LRC uses reasonable safeguards to protect data stored and transmitted through the portal.
  • Portal data may be shared with authorized vendors, legal authorities, or service providers only as necessary to deliver services, comply with legal obligations, or enforce agreements.

  1. Suspension or Termination of Access

We reserve the right to suspend or terminate portal access at our discretion, including but not limited to:

  • Non-payment of rent or fees
  • Misuse, abuse, or fraudulent activity in the portal
  • Submission of discriminatory or harassing content
  • Termination of tenancy or management contract
  1. Disclaimer and Limitation of Liability
  • Portal services are provided “as is” without warranties of any kind.
  • LRC is not liable for downtime, errors, delays, or data loss caused by third-party service providers or circumstances beyond our control.
  1. Governing Law

This Portal Policy is governed by the laws of the State of North Carolina, and any disputes shall be resolved in the appropriate courts of Mecklenburg County, NC.
